Workflow automation and CRM

Automation that follows the process you already run.

Most teams do not need new software. They need the tools they already pay for to talk to each other, so a lead that arrives at midnight is captured, checked against the records you hold and passed to an owner before anyone opens a laptop. We map the process as it runs today, agree what stays with a person, and automate the rest.

What this covers

From first enquiry through to invoice, in one path.

Capture, dedupe and routing

Enquiries from forms, ads, WhatsApp, the shared inbox and phone notes land in one place. New records are checked against what is already in the CRM so the same person is not chased twice, scored against rules you define, then assigned to an owner with a response time attached to it.

CRM pipeline and revenue ops

Stages named after decisions rather than moods, the fields that must be filled before a deal can move, a named owner at every stage, and reporting that falls out of the pipeline instead of being rebuilt by hand. If you already run a CRM, we restructure and clean it rather than start again.

Follow-up, alerts and handoff

Sequences that stop the moment a person replies, notifications that reach a named individual rather than a channel nobody reads, and the steps after a deal closes: onboarding tasks created, the invoice raised, and the account handed to whoever delivers the work.

How we deliver

We map it first, then decide what should not be automated.

Automating a process nobody has written down usually means automating the mistakes with it. The first piece of work is a plain map of the current steps: what starts the process, who touches it, where it stalls, and which exceptions happen often enough to matter. Some of those steps should stay with a person, and we will say so rather than build around them.

Built on the stack you have

We work inside your existing tools wherever they are capable of the job, and only introduce something new when the current one genuinely cannot do it. The accounts, the data and the admin access stay yours throughout, including after handover.

Runs you can actually see

Every automation records what it received and what it did. Steps that are safe to repeat retry on their own, and anything that is not safe to repeat stops and alerts a named person, so a broken step is spotted by your team rather than by a customer.

Documented ownership

You get a written runbook covering what each automation does, which accounts and credentials it uses, how to pause it, and who owns it internally. Builds of this kind typically run between two and six weeks, depending on how many systems are involved.
